Description du poste

As Receptionist at Intertrust you will have the opportunity to work and collaborate with some of the best minds in trust and corporate management services. You will become the pillar of a professional environment by listening to customer’s requests and delivering the best customer services experience. You will play a key role in the Business Center from its opening hours to closing time.

Your Responsibilities

Your typical day will consist of taking part in a large range of tasks including:

Reception and Client Services

Ensuring the Center opens and is ready on time to welcome their clients
Ensuring the reception area looks professional and clean at all times
Warm and professional welcome of clients and ensure to respond to their needs
Accompanying the visitors in a professional manner
Dealing with all client enquiries and taking action in a timely manner
Build and keep a perfect client relationship
Managing incoming calls with a professional introduction
Handling of incoming post and delivering it to the client
Collecting outgoing post and packages
Record all tasks of franking and sending packages into Client invoicing system
Ordering of lunch
Admin support
Daily check of the floor, kitchen, vending machine, copy points, meeting rooms, toilets to ensure a clean, professional and welcoming environment
Stock management
Maintenance of standard room set-up
Meeting Room

Managing bookings, setting-up of rooms
Managing catering requests, refreshments, coffee breaks and equipment
Preparing the access to the WIFI connection
Ensuring a professional welcome and accompany the visitors
General Center Management Task

Responsible for the day to day operations of the health and safety policies at the Center
Preparing the client move in and move out procedure
Preparation and maintenance of client files
Ensuring general filing, updating of procedures and invoicing preparation
Involvement in various business and center audits
Assisting with sales enquiries and viewings
Assist Sales team in preparing sales documents and visits
Helping in clients connectivity
Handling internet and telephone issues by proactive actions and good analysis of the situation
Regular contact with different providers to resolve issues, breakdown, etc.
Have an eye for development and find always a way to improve the service and a better organization in the center
Involvement through Center meeting
Understanding and complying with all relevant company procedures, rules and agreements
Respecting instructions and directions as communicated via email and notice boards.

Compétences requises du profil

We are looking for a candidate who:

Has an excellent command of verbal and written English, any other language would be considered as an advantage
Has an excellent presentation and a hospitality experience
Obtained in-depth working knowledge of MS Word, Excel, Outlook and PowerPoint
Has excellent organizational skills
Has an ability to manage work and prioritize effectively
Possesses a strong customer service orientation
Is actively engaged and committed to the collective work of the team, offering assistance and information to ensure team goals are met
