Afin de servir au mieux notre clientèle, nous recherchons actuellement un :
CLIENT SUPPORT OFFICER H/F

In a permanently evolving and challenging environment, this new function of Client Support
Officer will find its full meaning in combining 3 key points of interest: first the execution and
follow-up of day to day tasks, and thus taking responsibility in a number of administrative and
operational tasks.

Next to this, being on top of the latest updates in our digital expertise will also be of a true added

value to the first point of contact for external clients. Finally, the Client Support Officer is the

ideal stakeholder in front of RTO clients, able to detect and redirect opportunities for
development.

DESCRIPTION
Interaction external Clients
Preparation of client’s meetings: Checking and preparing missing

KYC documentation;

Monitoring in adapted tools, reservation, of meeting rooms, access to the safe,…;

Reception and handling of client mail and calls;

Providing client portfolios / monthly statements / periodic overviews;

Drafting of various letters and certifications (including letters of comfort etc);

Handling and providing duplicates of account statements ;
Interaction internal Clients
KYC +KYT

Preparation account openings / closings of existing clients;

Handle and follow up changes during "life" of the account implying updated documentation
(contact with clients, reception, control and submission to KYCO);

Follow up handling documents by KYCO;

Follow up handling by compliance of additional requests recertified accounts
Handling norkom alerts; preparation of recertification files

Provide clients with dedicated documentation related to taxation subjects;

Credit:Follow up ATF, request Luxcredit approval according to standing processes;

Cardif :Liaise with Bancassurance for documentation issues and with Cardif for

operational matters + recertification;

Operational / Eole
Insertion and follow up of corporate action-related instructions in adapted tool;

Opening and follow up handling of instruments in adapted tool;
Stock exchange orders for RTO clients + reactive orders;

-Transfer of shares: preparation, transmission/insertion in adapted tool - follow up

Payments / cash handling

Cash + periodic payments: signature validation / handling and follow up of execution;

Handling and follow up of: payment consignations (GeCo, weekly In&Out),

negative cash balances, compensation and reversals, dormant accounts;

Emission of cheque payments, cash withdrawals (cash reservation + gathering required
approvals);

Set up of new Call100 and PIA accounts / submit and follow up withdrawal
Instructions;

Electronic payment instruments: ordering debit and credit cards, adjustment of
authorized limits;

Investment related administration

Private equity: preparation, transmission of client documentation, follow up reporting;

Preparation of documentation related to different types of management agreement
(CIP, A², A³, DPM) + draft and follow up of the O&T file and fee structure;

Digital
Be the first point of contact for client’s questions related to digital tools;

Actively and proactively participating in workshops on digital equipment;

Promoting digital tools and detecting client’s needs

Organization
Organization of meetings (internal and external);

Mail box (incoming and outgoing), DHL, express delivery, hand delivery;

Ordering and management of office equipment;

Organization of Wealth Manager's trips ( reservation of travel facilities, restaurant, travel
expenses,…);Ordering business cards;

Compétences requises du profil

Strong communication skills

Very good oral and written knowledge of French, English, Dutch/Flemish or any additional
language being an advantage

Word, Excel, Powerpoint

Team player, advice colleagues share best practices, assist in training new colleagues

Complete mandatory trainings required by Domaine, Territory and Group

Obtain country manual when contact by phone with clients based in countries outside.
